1. What we collect
- Account & order data: name, email address, billing address, and your subscription/order history, when you buy or create an account.
- Payment data: processed by our payment providers (Stripe, and PayPal where offered). We do not store your full card details — the providers handle and secure them.
- Login / activation: the email address you use to activate the software (and, in future, one-time verification codes sent to it).
- Support correspondence: emails you send us.
- Technical data: standard server logs and essential cookies. With your consent, we also use Google Analytics 4 to understand how the site is used — pages viewed, approximate location, device/browser, traffic source, and store/checkout events. See section 7.
The CalendarPrint apps (Outlook add-ins)
CalendarPrint is available as CalendarPrint for Outlook — a Classic add-in for Outlook on Windows and a Modern add-in for new Outlook, Outlook on the web and Mac — and as the web app at CalendarPrint.com. When you use a CalendarPrint for Outlook add-in and sign in with your Microsoft account, the add-in uses the Microsoft Graph API to:
- Read your Outlook calendar (read-only) — to draw the on-screen preview and the printed/PDF calendar. It never creates, edits or deletes your events.
- Read your organisation’s room list — only to power the optional “add a room” feature.
- Read your basic Microsoft profile (name and email) — to sign you in.
- Save your own add-in preferences (such as your picked-rooms list) to your Microsoft profile, so they roam across your devices — the same way Outlook on the web stores its own settings.
We do not store your calendar contents on our servers; calendar data stays in the add-in for your session and is used only to render your calendar. You can revoke the add-in’s access at any time from your Microsoft account at myaccount.microsoft.com.
2. Why we use it (legal bases)
- To provide the Service and fulfil your subscription — performance of a contract.
- To take payment and prevent fraud — contract / legitimate interests.
- To provide support and send service emails (e.g. order confirmations, renewal notices) — contract / legitimate interests.
- Marketing emails, if any — only with your consent; you can unsubscribe any time.
3. Who we share it with (processors)
We share data only with processors that help us run the Service:
- Stripe / PayPal — payment processing.
- SiteGround — website hosting (EU data centre).
- Resend — transactional email delivery.
- WooCommerce.com / Automattic — store & subscription tooling.
- Google (Google Ireland Ltd) — website analytics (Google Analytics 4), only when you accept analytics cookies.
We do not sell your personal data.
4. International transfers
We aim to keep data within the EU/EEA. Where a processor transfers data outside the EEA, it is protected by appropriate safeguards (e.g. EU Standard Contractual Clauses).
5. How long we keep it
We keep account, order and invoice data for as long as your subscription is active and afterwards as required by accounting/tax law (typically 5 years under Danish bookkeeping rules). Support emails are kept only as long as needed.
6. Your rights (GDPR)
You have the right to access, rectify, erase, restrict, port, or object to the processing of your personal data, and to withdraw consent. To exercise these, email hello@outlookcalendarprint.com. You may also complain to the Danish Data Protection Agency (Datatilsynet, datatilsynet.dk).
7. Cookies
We use essential cookies needed to run the store and keep your session — these are always on. Analytics cookies (Google Analytics 4) are set only after you accept them in our cookie banner. Until you accept, we use Google Consent Mode to keep analytics storage disabled — no analytics cookies are set and no analytics data is collected. You can change or withdraw your choice any time via the cookie-settings link in the footer. Google Analytics may transfer data to Google LLC in the US under EU Standard Contractual Clauses (see section 4).
8. Changes
We may update this policy; material changes will be posted here with a new effective date.
